What you can send safely
Most engagements start with an anonymized export. If it's enough to classify and prioritize, it's enough to triage.
Useful columns
Claim or deduction ID · claim type · amount · deduction date · PO number · invoice number · dispute deadline if shown. A raw Vendor Central export works as-is — CSV or Excel, no special format needed.
Fine to redact
Vendor name · account identifiers · customer data · pricing you consider sensitive · any fields not relevant to the claims. Redact first, send second — a mutual NDA is also available before anything moves.
Data handling & confidentiality
What happens to your files
Deduction data is sensitive — claim exports, POs, invoices, shipment records. Here is the exact policy, so legal and finance don't have to guess.
- Vendor Central credentials are never requested. Everything runs off exports your team pulls; no disputes are submitted on your behalf.
- Your files are used only for your engagement — never for training, benchmarking, marketing, or other clients.
- Deleted within 30 days after the engagement ends — sooner on request — with written confirmation.
- Private, access-controlled storage. Files stay in the studio's own workspace; they are never loaded into a client-facing platform or multi-tenant tool.
- AI tools never train on your data. Reconciliation runs on the studio's own pipelines; where AI assists with classification or drafting, it runs on paid plans configured so your data is excluded from model training. Every dispute recommendation is reviewed by a person.
- Mutual NDA available before the free sample triage — signed first if you prefer.
The same commitments are written into the privacy policy.
